Client Intake Optimization

Give incoming inquiries an owner and a clear next step.

  • Intake-process audits and workflow mapping.
  • CRM setup, pipeline organization, and compatible system connections.
  • Call and form routing, missed-call alerts, and callback ownership.
  • Firm-approved screening questions and handoff rules.
  • Follow-up sequences, consultation scheduling, and appointment reminders.
  • Staff handover, practical training, and ongoing workflow improvement.

Your firm keeps case acceptance and legal advice. This supports the intake team.

02

Attribution, strategy, and reporting

Understand where inquiries come from and what happens next.

  • Marketing and intake audits, priorities, and campaign planning.
  • Positioning and messaging recommendations.
  • Call and form tracking, campaign tagging, and source diagnostics.
  • Analytics setup and conversion-event design.
  • Reporting from source to recorded outcome, where the tools support it.
  • Missed-call, response-time, follow-up, and consultation reporting.

Booked consultations are not signed clients. Cost figures are shown only when cost and outcome data exist.

03

Paid advertising

Put focused campaigns in front of relevant prospective clients.

  • Google Search Ads setup, management, and optimization.
  • Google Local Services Ads support where the firm is eligible.
  • Facebook and Instagram advertising, including creative and lead paths.
  • Microsoft Ads where appropriate.
  • LinkedIn, YouTube, or TikTok only when audience, practice area, and budget justify them.
  • Structure, keywords, geography, copy tests, and conversion measurement.

Recording a Facebook-related call does not create ads or operate a social inbox. Remarketing is scoped only where platform rules allow it.

04

SEO, local visibility, and reputation

Make the firm easier to find and evaluate.

  • Technical and on-page SEO audits and improvements.
  • Keyword research and practice-area, FAQ, and location content.
  • Google Business Profile support and ongoing updates.
  • Listing consistency and relevant directory profiles.
  • Review-request workflows and response drafts for firm approval.
  • Search visibility reporting.

No promised rankings, fake locations, purchased links, or gated reviews. The firm approves public replies.

05

Content, social, and client communications

Explain the firm's work clearly and stay useful between inquiries.

  • Messaging, campaign concepts, and marketing copy.
  • Articles, FAQs, newsletters, and guides reviewed by the firm.
  • Organic Facebook, Instagram, and LinkedIn content.
  • Ad graphics, short-form video, and content repurposing.
  • Permission-based email, and SMS only with consent and opt-out.
  • Referral communications and event promotion.

Video shoots, media outreach, and inbox management are custom projects. They are not an existing studio or moderation team.

06

Websites and conversion

Make it easier for a visitor to understand the firm and contact it.

  • Website design or redesign, and ongoing maintenance.
  • Campaign landing pages.
  • Consultation forms, booking flows, and compatible contact tools.
  • Mobile usability, speed, and accessibility improvements.
  • Clear practice-area pages and contact journeys.
  • Conversion reviews and proportionate testing.

Website work supports the marketing path. A redesign alone is not an accessibility certification.

Need help answering inquiries?

We can assess human receptionist support or AI-assisted call handling as a separate project, with clear handoff rules and firm-approved scripts. That work is not part of the standard pilot, and it is not a promise of round-the-clock coverage.

Services are scoped around your firm's goals, tools, and budget. Advertising spend, software, and specialist production are quoted separately.

Inquiry 014

Owner: Intake team

Next task: Confirm the owner and next action for each outstanding follow-up.

Due: Today, 4:00 PM

14 inquiries are marked for follow-up. Confirm the owner and next action for each.

How these figures are defined
  • Accepted for intake is an inbox outcome. It does not mean qualified, signed, paid, or consultation booked.
  • Consultation and follow-up figures require recorded activity beyond the basic lead handoff.
  • These counts overlap. They are not a funnel and they are not proof of lost clients or lost revenue.
  • This is an example of a service report, not a claim that the native integration supplies every field automatically.

Start with one focused 30-day pilot.

We review your intake process, configure an agreed workflow, and help your team use the results to decide what to improve.

  1. 01

    Free review

A 20-minute conversation about your tools and follow-up process.

  2. 02

    Agreed scope

We confirm compatibility, sources, and what the pilot will cover.

  3. 03

    Setup and testing

Agreed tracking and the inquiry handoff are configured and tested.

  4. 04

    30-day review

Your team uses the results and decides what to improve.

Included in the pilot

  • An intake-process review and clear workflow map.
  • Agreed source tracking and tested inquiry handoff.
  • Follow-up ownership and practical task organization.
  • A staff handover session.
  • Weekly checks and a final improvement plan.

One office, one website, and up to two agreed marketing sources. Source tracking in this pilot does not include creating or managing advertising. SEO, social content, websites, receptionist coverage, and extra integrations are scoped separately. Agency fees, advertising spend, software, and specialist production are distinct costs.

Built around your intake process.

CTM and Clio Grow are the defined starting integration. Other systems receive a compatibility assessment. IntakeNorth is an independent service provider and is not affiliated with or endorsed by CTM or Clio.

Ongoing reporting can continue after the pilot if it fits. It is separate from the 30-day review.

Website improvements can be discussed separately. They are not part of this pilot.

FAQ

Do we need Clio Grow already?

CTM and Clio Grow are the starting integration. If you use something else, the introductory review includes a compatibility assessment. You do not need to switch tools before that conversation.

Do we need CTM?

CTM provides the tracking and native integration used in this service. We confirm the required plan and features before recommending setup.

Does this replace our receptionist or intake team?

The service supports your existing staff with clearer tracking, responsibilities, and reporting. Your firm continues to handle prospective clients.

Does an accepted lead mean a signed client?

No. Accepted for intake means the inquiry entered the intake inbox. It does not mean the lead is qualified, signed, paid, or booked for a consultation.

Do you manage advertising?

Advertising management can be scoped separately. It is not included in the standard intake pilot.

Who owns the accounts and information?

Your firm should own its advertising and software accounts. Access is agreed with you. Third-party licensed assets stay with their owners.

Can Facebook and Instagram inquiries be tracked?

A website call or form from those ads can be tracked when the path is configured. Native lead forms and direct messages need a separate capture review. A campaign tag is an association, not a complete history of every touch.

Do we need every service?

No. Start with the area that needs attention. Additional services are agreed separately.

Can we start with marketing only?

Yes. We can scope a standalone project or connect it with intake support.

Is advertising spend included?

No. Service fees, media spend, software, and specialist production are separate costs.

Is receptionist support included?

No. Human or AI-assisted call handling is a separate assessment, with firm-approved scripts and handoff rules.

What happens during the introductory review?

We spend about 20 minutes on your goals and intake needs. It is not a free comprehensive marketing audit. If there is a fit, we agree the scope before any setup work.
